Tatlong Tasa Coffee Cart & Catering Services Agreement

This Agreement is entered into by and between Tatlong Tasa, a Virginia registered business (“Company” or “Caterer”), and the undersigned individual or entity (“Client”). By submitting the required deposit, the Client agrees to all terms and conditions set forth below.

1. Services Provided

The Company agrees to provide mobile coffee cart and catering services (“Services”) for the Client’s event (“Event”), including the preparation and service of coffee and related beverages.

* Menu offerings include: Espresso, Cappuccino, Mocha, Latte, Seasonal Latte, Chai Latte and Herbal/Black Tea. Add-ons include Hot Chocolate, Signature Drinks, Matcha, and Cold Brew.

* Milk Options: Whole Milk and Oat Milk.

* Substitutions: The Company reserves the right to make reasonable substitutions to the menu if ingredients become unavailable due to circumstances beyond our control.

2. Event Details & Changes

Event details (including time, location, and estimated guest count) are confirmed via the Client’s inquiry and the Company’s accepted quote.

* Notice: Any changes must be submitted in writing at least 7 days prior to the Event.

* Adjustments: Significant changes (including guest count increases or location shifts) may result in pricing adjustments or surcharges.

3. Deposit & Payment Terms

* Deposit: A 50% non-refundable deposit is required to secure the Event date. The date is not "locked in" until this payment is received.

* Final Payment: The remaining balance is due no later than 7 days prior to the Event.

* Late Payments: Unpaid balances after the due date will incur a late fee of $25 per week (approx. 13% per month).

* Methods: Payment via Credit Card, ACH, or Check (as approved by the Company).

4. Site Requirements & Venue Coordination

The Client agrees to provide:

* A minimum space of 6’ x 8’ for the coffee cart and service area.

* Access to the venue at least 60 minutes prior to start for setup and 60 minutes after for breakdown and load out.

* Weather Policy: Outdoor service can only be accommodated when there is no chance of rain and the temperature stays between 40°F and 90°F, as adverse weather conditions can jeopardize espresso equipment.

5. Electricity & Power Requirements

The Client must provide:

* At least one dedicated 110v/15-amp or 20-amp electrical circuit per espresso machine.

Note: If adequate power is not available, espresso service cannot be safely rendered, and no refunds will be issued for power failures on-site.

6. Cancellations & Rescheduling

* Cancellations: * 30+ days before Event: Payments beyond the 50% deposit will be refunded.

   * Within 7 days of Event: No refunds issued.

* Rescheduling: * Single-day events require 72 hours notice and are subject to availability.

   * Multi-day events require 7 days notice.

   * Late rescheduling may result in forfeiture of payments.

7. Liability & Insurance

* Insurance: The Company maintains general liability insurance covering services provided at the Event.

* Damage: The Client assumes responsibility for any damage, theft, or loss of the Company’s equipment caused by the Client, guests, or attendees.

* Indemnification: The Client agrees to hold harmless Tatlong Tasa from claims or losses arising from Client or guest negligence.

8. Force Majeure & Limitation of Liability

If the Company is unable to perform due to circumstances beyond its control (including extreme weather, power failure, or venue restrictions), it may either:

  •   Secure a replacement vendor with Client approval, or

  •   Refund amounts paid

The Company shall not be liable for additional damages beyond the amounts paid.

9. Photography and Media Notice

Tatlong Tasa reserves the right to take photographs and/or video footage of our coffee cart setup, the service provided, and the general event atmosphere for use in our marketing materials, social media, and website portfolio.

Usage: These images are used solely to showcase our professional services and setup.

Privacy: We will never sell these images to third parties. We strive to be respectful of guest privacy; however, by agreeing to these terms, the Client grants Tatlong Tasa a non-exclusive, royalty-free license to use media captured during the service.

Opt-Out: We understand that some events (e.g., private corporate meetings or "unplugged" weddings) require total privacy. If you wish to opt-out of photography or have specific "no-post" requirements for guests' faces, please notify us in writing at least 48 hours prior to the event.

Collaborations: If the Client or the Client’s professional photographer shares event photos with Tatlong Tasa, we will provide proper credit to the photographer when used on our platforms.

10. Governing Law

This Agreement shall be governed by and interpreted under the laws of the Commonwealth of Virginia.

11. Acceptance

By submitting payment of the deposit, the Client acknowledges and agrees to all terms of this Agreement. Acceptance of the deposit by Tatlong Tasa confirms the booking.
